Event supplier profit calculators
Not every event business fits a neat category. Magicians, dancefloor hire, stationery, florists, transport, sound and lighting, staffing agencies and countless others all face the same core question: what does this booking actually cost me to deliver?
These general-purpose event calculators use the same cost model as the specialist tools, with inputs you can adapt to your own service.

- Payment fees
Card and platform percentages on deposits and balances.
Common pricing mistakes
- No allocation of overheads
Overheads are paid whether you book the job or not, but the jobs still have to cover them.
- Pricing from last year without review
Costs move; prices that were fine two seasons ago may no longer clear your target margin.
- Never calculating a break-even price
Without a floor, every discount conversation is guesswork.
- No income target working backwards
Knowing you need seventy-three bookings a year changes how you market, quote and discount.
Worked example
Illustrative example — working back from an income target. These figures are an illustrative walk-through of the formulas below — they are not survey data, benchmarks or a real customer result.
| Target owner income | £36,000 |
|---|---|
| Annual fixed overheads | £7,200 |
| Required annual contribution | £43,200 |
| Average booking price | £450 |
| Average variable cost per booking | £155 |
| Contribution per booking | £295 |
| Bookings needed per year£43,200 ÷ £295, rounded up | 147 |
| Bookings needed per trading month (9 months) | 17 |
Seventeen bookings a month may or may not be achievable. If it is not, the price has to rise or the cost base has to fall — the target makes that decision explicit instead of leaving it to hope.
How the figures are calculated
- Required annual contribution = target owner income + annual fixed overheads.
- Contribution per booking = average price − average variable cost.
- Bookings needed = required annual contribution ÷ contribution per booking (rounded up).
