How to use & FAQ

A quick walkthrough of the CalcProfits — Photo Booth & DJ Profit Calculator, plus answers to the questions we get most from photo booth and DJ operators.

Getting started in 6 steps

  1. 1. Pick your business type

Toggle between Photo Booth, DJ or Both. This changes which cost fields appear so you only fill in what's relevant to how you actually operate.

  2. 2. Enter your per-event costs & price

Fill in your typical booking price and the direct costs of running one event — travel, staff, consumables (booth), music subscriptions (DJ), insurance share, etc. Use realistic averages, not best-case numbers.

  3. 3. Set your volume

Add the average events booked per month and how many months per year you actively trade. Seasonal operators — drop the months down; the annual profit updates instantly.

  4. 4. Model new equipment (Break-Even tab)

Enter the equipment cost or choose finance mode (monthly payment or APR + term). You'll see how many events until it pays for itself, plus a cumulative profit chart and full amortization schedule.

  5. 5. Run what-if scenarios

Use the sensitivity sliders to nudge booking price, events/month, consumables or monthly payment by ±50%. Every card, chart and payback grid updates so you can see which lever matters most.

  6. 6. Save presets & share

Save named profiles for different packages or seasons. Export/import as JSON, generate a shareable link, copy an email summary, download a PDF/CSV, or send a WhatsApp breakdown.
